Data Retention Policy

How long CoworkBridge keeps call recordings, transcripts, lead data, website content, and business records.

Principle

We keep information for as long as it is useful to the customer whose service it belongs to, or as long as the law requires, and then we delete it. Customers can ask for earlier deletion at any time.

Retention by type

  • Call audio recordings. 90 days by default, then deleted. A customer can request a shorter period, a longer period, or no recording at all.
  • Call transcripts and summaries. 24 months, so the customer keeps a usable history and monthly reporting stays comparable year over year.
  • Lead and contact records captured by the AI Front Desk or Site Assistant. Held for the life of the customer relationship, then 90 days after it ends, then deleted or exported at the customer's direction.
  • Website form submissions. 24 months.
  • Website files, content, and backups. Live for the life of the plan. Backups are rolled on a 12 month cycle. After a plan ends, files are retained for 90 days so a customer can still request a transfer, then deleted.
  • Billing and business records. 7 years, as required for tax and accounting purposes.
  • Server and analytics logs. 13 months.
  • Spam and screened calls. Metadata only, 30 days. No recording is retained.

Deletion requests

A customer can request deletion of any category above at any time, other than billing records we are required to keep. We complete verified requests within 30 days and confirm in writing.

A caller who wants their information deleted should contact the business they called. That business instructs CoworkBridge, and we act on a verified instruction.

What happens when service ends

On request we export call recordings, transcripts, customer lists, and review history in a standard format. Website files transfer at no charge at any time. Ninety days after service ends, remaining customer data is deleted other than records we must keep.

Backups

Deleted records may persist in encrypted backups for up to 90 days after deletion before those backups roll off. They are not restored into active use.
